DMS — Document Management System

A software platform used to store, organize, control and retrieve engineering and operational documents.

Definition

A Document Management System (DMS) is an information management platform that provides centralized storage, version control, access management, workflow automation and document retrieval capabilities. Engineering organizations use DMS platforms to manage drawings, specifications, procedures, reports, vendor documentation and other controlled records throughout the asset lifecycle.

Why It Matters

A DMS improves document accessibility, collaboration, revision control and regulatory compliance while reducing duplication and information loss.

In Practice

A DMS commonly integrates with engineering design systems, enterprise asset management systems, ERP platforms and document control workflows to provide a single repository for controlled documentation.

Common Misuse

A DMS is the software platform supporting document management activities, while Document Control defines the governance processes and responsibilities applied within the system.
