VDL — Vendor Document List

A controlled list used to identify, monitor and manage vendor document deliverables throughout a project.

Definition

A Vendor Document List (VDL) is a controlled register that identifies, monitors, reviews and manages engineering documents and other information submitted by vendors during project execution. It records document identifiers, revision status, submission dates, review status and approval history, providing complete traceability for vendor deliverables throughout the project lifecycle.

Why It Matters

Vendor Document Lists provide structured management and traceability for vendor documentation throughout project execution.

In Practice

Vendor Document Lists support engineering review, document control, procurement management and project execution by tracking the status and completeness of vendor deliverables. Many organizations refer to the same concept as a Vendor Document Register (VDR). Within this glossary, the abbreviation VDR is reserved for Vendor Data Requirements to avoid ambiguity.

Common Misuse

A Vendor Document List tracks vendor documentation throughout the project lifecycle, whereas Vendor Data Requirements define the documentation that vendors are required to provide.
